To that end, we endeavor to provide you with a safe, secure service and use commercially reasonable efforts to ensure that the information you submit to us remains private and is used only for the expressed purpose of performing services for our Clients and Employees. The following statements provide additional details about our privacy commitment.
Introduction
This Privacy Policy outlines how we collect, use, disclose, and protect your personal information in accordance with the General Data Protection Regulation (GDPR) and other applicable data protection laws including the California Consumer Privacy Act (CCPA). We are committed to protecting your privacy and ensuring the security of your personal information.

Data Controller

General Information and Disclosure of Information Received from Internet Users (non-clients).
We gather information about our Internet visitors collectively, tracking such things as pages visited, the number of searches performed, keywords used in searches, etc. We only use this information anonymously and in the aggregate. However, no information about a given Client or any of our Employees will be “cross-shared” with any other Client of ours. Users can opt out of direct communications (emails, phone calls, etc.) from us at any time.
We may share your personal information with the following third parties:
- Service providers: We engage trusted third-party service providers to assist us in delivering our services and performing related tasks, such as payment processing, background checks and healthcare screenings.
- Business partners: We may share personal information with our business partners for joint marketing activities, with your consent.

International Data Transfers
If we transfer your personal information outside the European Economic Area (EEA), we will ensure appropriate safeguards are in place to protect your data, as required by the GDPR.
Storage of Data
Our systems reside on a secure server that encrypts your personal and employment information using Secure Socket Layers. You can verify that your information is on our secure server by looking for two things: (1) the padlock icon in the bottom status bar of your browser, and (2) the “s” after “http” in the address line in your browser. You may only access the system by a unique Email Address and Password. Employees who are using FoxHire’s products will only have access to their own information; and, Clients will only have access to their own company information, and information pertaining to their own Contractors.
After we receive your information, we safeguard the data with both physical and digital security measures.
Sales of Personal Information
We have never sold personal information, and we do not intend to do so in the future.
Data Retention
We will retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

Consent to Use Electronic Records and Signatures
From time to time, FoxHire LLC will provide you with certain documents for review and signature, some of which are required by law to be in writing. The federal E-SIGN Act and certain state laws allow us to provide you with these written documents electronically with your consent. These laws also allow for the use of electronic signatures. Described below are the terms and conditions for providing you with such documents electronically, as well as for using electronic signatures.
Please read the information below thoroughly and, if you can access this information electronically to your satisfaction and agree to these terms and conditions, please confirm your acceptance of this agreement by clicking the “Yes, I consent to receiving documents electronically” and the “I understand that clicking this box constitutes a legal signature” buttons located on the previous page.
Scope and Duration
This consent relates to any electronic records or signatures associated with any of your FoxHire LLC services, including but not limited to Form I-9, Forms W-2 or 1099, Form 1095-C, direct deposit vouchers, your employment agreement, etc (collectively, “Electronic Records”). We reserve the right to provide such records on paper, even if you have consented to receive Electronic Records.
This consent is valid unless it is revoked by you in the process described below, upon termination of your employment relationship, or if FoxHire LLC no longer supports this service.
Right to Withdraw Your Consent to Receive Electronic Records
If you agree to receive Electronic Records, you have the right to withdraw your consent at any time and revert to paper copies. You must inform us of your decision by notifying Human Resources by email at HR@foxhire.com to opt out. If you withdraw consent, we will revert to issuing paper copies for any documents that have not been issued at the time of withdrawal. If you elect to receive records only in paper format or refuse to sign electronically, it will slow down your onboarding process and result in delays. Request for a paper copy of a document does not withdraw your consent for electronic delivery.

If you elect to receive Electronic Notices, you must keep your email address up to date. We reserve the right to send Electronic Records to any email address that we have on file for you. You may change that email address by accessing your Employee Information Page in your Portal, or by contacting Human Resources by email at HR@foxhire.com.
Important Technical Information
The following are the minimum requirements for viewing Electronic Records:
- A device with internet access
- A current web browser (i.e. Chrome, Edge, Safari, etc)
- The ability to receive email and access the provided email address
- Software capable of viewing PDF files (i.e. Adobe)
Acknowledgement of Access and Consent to Electronic Records
I agree that by using the e-signature feature on this website, I am applying my electronic signature, which is the legally binding equivalent to my handwritten signature. Whenever I execute an electronic signature, it has the same validity and meaning as my handwritten signature. I also agree that no certification authority or other third-party verification is necessary to validate my e-signature.
I also agree, when applicable to me, to receive electronic disclosures of all health and welfare benefits Notices, including Summary Plan Descriptions (SPDs) and any Notice a similarly situated employee would consider to be related to employee benefits. For this agreement, a Notice is any document, disclosure, policy, procedure, form, or other written material required to comply with federal, state, or a governmental safety or regulatory body, and any disclosure provided by my company to comply with any of the aforementioned requirements or to communicate company or employment-specific information to me. I confirm I have the necessary equipment to view and print these materials and understand that if I cannot access these materials, I may ask for them to be printed for me by my employer. I authorize my employer to send notices electronically and agree to accept the delivery of notices via email, as well as the requirements to view notices on this portal.
